The Problem

Two platforms. Same venues. No connection.

ROLLER and GoHighLevel serve the same venue operators but have no native integration. Every week, staff were exporting customer records, cleaning them up, and importing them by hand. Real-time automation was out of reach entirely. A membership purchase could not trigger a welcome sequence the same day it happened.

Customer identity arrives incomplete

ROLLER sends email in a separate waiver event, not the initial customer record. Without correlation logic, building a complete CRM contact from webhooks alone was not possible.

Bookings had no classification

A single booking event could be a membership, a party, or general admission. GoHighLevel had no way to distinguish them and could not apply the right automation per type.

Children created broken contacts

Minors attending venues receive ROLLER customer IDs but have no email. Without detection logic, every child record failed silently or created a stub contact in GoHighLevel.

No path to multi-venue scale

Even a working one-off fix would require re-engineering per location. There was no reusable, configurable solution that could onboard venues without developer involvement each time.

Real-time sync with no waiting

The webhook returns immediately to ROLLER. A background processor handles GoHighLevel asynchronously. Field mappings live in a database and update via the admin panel instantly, no deployment needed.

Contacts that complete themselves

Records without an email are parked and completed automatically when the waiver arrives. Children are identified from waiver data and linked to the adult record rather than creating broken standalone contacts.

Every booking type handled correctly

Memberships, parties, and admissions classified using a configurable product catalog. GHL receives the right tags, custom fields, and booking note per type. New venues go live via the admin panel with no engineering work.

Attendance tracking in the next phase will let venues identify customers by visit frequency and trigger targeted re-engagement sequences automatically. A lapsed customer who visited six times and stopped is worth chasing. The data to do it is already in ROLLER.

GoHighLevel Marketplace listing

The OAuth architecture is already in place. A Marketplace listing would allow any ROLLER venue to self-serve onboarding at scale without Isuremedia involvement per connection. The platform was built for this from day one.
