Home Service Business
Review requests depended on someone remembering to send them. Now a job status change in Service Fusion starts the whole review process automatically.
This service business ran its jobs in Service Fusion and its customer communication in GoHighLevel, with no link between the two. We connected them through n8n so that every qualifying job starts a rating request, routes the customer by score and follows up on its own.
Job-triggered review requests with separate paths for happy and unhappy customers and follow-up that runs for six months.
The job data and the customer messaging lived in different systems.
Service Fusion held the jobs and customer records. GoHighLevel handled communication. Without a connection, finding eligible customers and asking for feedback was manual work.
Requests had to start at the right moment
The review process needed to begin when a qualifying job reached "Partially Completed" in Service Fusion, not whenever someone got around to it.
Data was split across two systems
Customer and job details sat in Service Fusion while messaging and automation sat in GoHighLevel. They needed a reliable connection.
Good and bad ratings needed different handling
Customers rate 1 to 5 first. Happy customers should be asked for a public review. Unhappy ones need a human to follow up.
Follow-up and opt-outs were manual
Non-responders needed more reminders without anyone tracking them, and a STOP reply had to end SMS contact immediately.
From a job status update to a routed review request.
Service Fusion to n8n to GoHighLevel to the review workflow. Each platform does the part it is best at.
A job status starts the process
n8n watches for jobs that reach "Partially Completed" in Service Fusion, then processes and validates the customer data before anything is sent.
Customers rate first, then get routed
Inside GoHighLevel, every customer gets a 1 to 5 rating request. Promoters move to the Google review path. Detractors trigger an internal alert for follow-up.
Reminders run on schedule and respect STOP
Non-responders are reminded on day 2, day 4, day 7, day 15, then at 1, 3 and 6 months. A STOP reply turns on DND and ends SMS contact.
What the team no longer has to think about.
Review collection now runs off the operational event that makes a customer eligible, not off someone's memory.
Every qualifying job triggers a review request
Staff no longer pick out eligible customers by hand. The Service Fusion status does it.
Unhappy customers reach the team, not Google
Ratings of 1 to 3 go to an internal alert, so the team can fix the problem before it becomes a public review.
Quiet customers get reminded for six months
Seven scheduled touchpoints keep the request alive without anyone tracking who has or has not replied.
STOP means stop, every time
Opt-out replies switch on DND in GoHighLevel automatically, so no further texts go to that customer.
A framework that can take on more rules.
The integration was built so new conditions and automations can slot in without starting over.
